An office Wi-Fi refresh should begin with the work and the building—not a box chosen from an internet speed advertisement.

Boston-area offices add physical variables that generic network advice misses: masonry and plaster, narrow floor plates, converted residences, shared telecom rooms, neighboring wireless networks, landlord-controlled cabling, and conference rooms placed far from the internet handoff.

Use this checklist to turn “the Wi-Fi is bad” into a supportable network plan.

Confirm the business symptoms

Write down where, when, and how the problem appears. Separate these cases:

  • Devices show weak signal
  • Devices show strong signal but internet is slow
  • Calls freeze only in one room
  • Roaming between rooms interrupts a session
  • One device model has trouble while others work
  • Performance drops at a particular time
  • The wired network or internet circuit also fails

These symptoms point to different causes. Replacing access points will not repair an unstable carrier circuit, overloaded firewall, bad cable, DNS problem, or one misbehaving client.

Inventory the complete path

Record the internet provider, service level, modem or optical terminal, firewall, switches, access points, controllers, cabling, power, battery backup, and administrator ownership. Photograph labels and physical locations where appropriate.

Confirm who can access the telecom room and who may authorize cable work. In a managed building, an otherwise simple visit can stall because the provider handoff is locked behind another party’s schedule.

If nobody can sign into the network equipment, solve authorized access before changing settings. A reset without a configuration record can turn a coverage problem into a business outage.

Map the rooms and real device load

Use a floor plan or simple sketch. Mark:

  • Desks and shared work areas
  • Conference and video-call rooms
  • Reception, point-of-sale, printers, and scanners
  • Walls, stairwells, kitchens, elevators, and dense storage
  • Existing Ethernet and possible cable routes
  • Neighboring tenant boundaries
  • Devices that cannot use modern wireless bands

Count the normal and peak device load. A ten-person office may have far more than ten clients once phones, laptops, displays, printers, cameras, access control, and guest devices are included.

Design access-point placement before tuning

Good placement usually beats excessive transmit power. Access points and client devices must hear each other; turning up one side does not remove walls or give a phone a stronger radio.

Use measured signal, noise, channel use, and client behavior to plan coverage. In dense environments, wider channels can consume scarce spectrum and increase contention. The correct channel plan depends on the band, nearby networks, required capacity, and number of access points.

If multiple access points are needed, wired backhaul is generally the durable choice when an appropriate cable path exists. Wireless mesh can be valuable where cabling is impractical, but every wireless hop shares airtime and depends on a stable upstream connection.

Separate traffic with a purpose

Create networks that correspond to real trust boundaries, not an impressive list of names. A small office commonly needs:

  • A protected business network
  • Guest internet that cannot reach business devices
  • A defined place for cameras, displays, or other connected equipment
  • Management access limited to authorized administrators

Document the reason for each network, its owner, and which devices belong there. Avoid a hidden password spreadsheet passed around the office.

Test business tasks, not only a speed test

After installation, test from the places people actually work. Run video calls, cloud uploads, printing, file access, voice applications, and roaming between rooms. Include representative Mac, Windows, mobile, and specialty devices.

Record the internet circuit result separately from wireless performance. A speed test beside an access point can establish a reference, but it does not prove that the conference room or warehouse corner is ready.

Leave an operating record

The handoff should include:

  • Provider and circuit ownership
  • Equipment model, location, and support status
  • Network names and their intended use
  • Administrator and recovery path
  • Cabling map or port record
  • Configuration backup where supported
  • Test date, known limitations, and next review point
