A network-attached storage system and SharePoint can both give a team shared files. They do not create the same operating model.
A NAS keeps data on business-controlled hardware at a physical site. SharePoint stores collaborative content in Microsoft 365 and connects it to identities, Teams, OneDrive sync, sharing, versioning, search, and governance. Either can be the right answer. Many businesses need both, with a clear line between their workloads.
Choose by how the files are used, protected, and owned—not by the newest product demonstration.
When a NAS is the stronger fit
A business NAS or file server can be appropriate when people and applications need fast local access to large files, predictable network paths, local protocols, or storage capacity that would be awkward to synchronize widely.
Examples include:
- Large media collections
- Design, production, or archive workflows tested for network storage
- Scanner and application destinations that require SMB file paths
- Local backup targets
- Data sets used primarily at one site
- Workloads with clear performance or internet-independence requirements
A NAS is not “set it and forget it.” The business owns hardware health, storage capacity, disk replacement, updates, monitoring, administrator access, network security, backup, recovery tests, power protection, and an eventual replacement plan.
Remote access deserves special caution. Publishing a storage appliance directly to the internet is not an acceptable shortcut. Use a supported, secured access architecture with strong identity controls and a documented recovery path.
Neither platform is automatically a backup
SharePoint version history, recycle bins, and retention features can help recover content, but synchronization can propagate deletion or unwanted change. A NAS may have snapshots or redundant disks, but RAID is not a separate backup: it can keep a system running through some disk failures while still leaving data exposed to deletion, corruption, theft, fire, administrator mistakes, or compromise.
Define the recovery requirement independently:
- Which data must be recoverable?
- How far back must recovery go?
- How quickly must the business resume?
- Is another copy isolated from the primary credentials and system?
- Has a representative restore been tested?
The answers may lead to Microsoft 365 backup, NAS snapshots plus separate backup, cloud replication, offline media, or a combination.
Compare the real operating costs
SharePoint cost includes licensing, migration, information architecture, permissions, administration, user support, and potentially third-party backup. NAS cost includes hardware, drives, backup storage, installation, network capacity, power protection, monitoring, replacement, and labor.
Avoid comparing a fully managed cloud plan to the purchase price of an unmanaged appliance. Compare three to five years of ownership and include the person responsible when something fails.
A hybrid design can be cleaner
The best result may place active Office collaboration in SharePoint while retaining large production files or local application data on a NAS. The boundary must be explicit. If users cannot tell which copy is authoritative, a hybrid design becomes two competing sources of truth.
Document:
- What content belongs on each platform
- Who owns permissions and administration
- How remote access works
- Which system protects each workload
- How recovery is tested
- When data is archived or deleted
Microsoft’s migration guidance recommends assessing the source, deciding what content goes where, preparing the destination, piloting the transfer, and onboarding users. That sequence matters more than the copying tool.
The bottom line
Choose SharePoint for identity-centered collaboration and discoverability. Choose a NAS for suitable local storage and performance workloads. Keep both when each has a defined job and there is one documented source of truth for every class of data.
